Social and Legal Requests
Social and legal requests — processed free of charge:
- employment history and wages;
- military service and monetary allowance;
- service in the Armed Forces of the USSR or the Ukrainian Army;
- active-duty military service during hostilities, including performance of international duty;
- participation in the Chornobyl NPP accident clean-up;
- wounds, health status, and stays in military medical facilities;
- awarding of academic degrees;
- conferment of academic titles and professional development;
- conferment of military ranks;
- decorations and honorary titles;
- citizenship (confirmation of Ukrainian citizenship);
- education;
- creative activity, scientific and other works, (rationalisation) work;
- harmful working conditions; workplace attestation;
- class qualification;
- provision of housing and and inclusion in the housing registry.
Thematic Requests – Fee-based
Personal biographical and genealogical requests concerning the applicant or other persons:
- A biographical request concerns information about a person’s life and clarification of biographical facts.
- A genealogical request provides information to establish lineage and family ties and must include information on two or more related persons, as well as family/line history.
Property requests related to:
- confirming property rights to land and real estate of military units,
- institutions, and state enterprises of the Ministry of Defence of Ukraine (e.g., allocation of land plots for construction of facilities, institutions, residential buildings and auxiliary premises);
- MoD permissions for alienation of military property;
- assignment of adjacent territory to residential properties;
- commissioning of buildings and utility structures;
- allocation of housing;
- sale of residential properties.
Applicants may work independently in the archive’s reading room to locate the required information, or—at the applicant’s request—the SSA MoD will carry out such searches for a fee.
Requirements for Information Requests
A request must include:
- for legal entities: organization name; location (actual postal address); contact phone number; email address;
- for individuals: surname, given name (patronymic if applicable); date and place of birth (if needed to process the request); postal code and mailing address for the reply; optionally an email address and contact phone number.
For both individuals and legal entities, the request must also state: the subject (question) of the request; the chronological scope of the information sought; the designation/name of the military unit (classified or unclassified).
Anonymous requests are not considered by the BSA MoD.
A request for information is returned without consideration if:
- it was sent to the wrong address;
- the text is damaged/illegible and cannot be read;
- the issue does not fall within the archive’s competence.
When a request is returned without consideration, the applicant is informed of the reasons.
Processing Time
Requests are processed within no more than 30 calendar days from the date of registration. If a request can be fulfilled without reviewing archival documents, the processing time is 15 calendar days from registration.
Non-jurisdiction requests are forwarded within five calendar days from registration to the repository holding the requested documents, with the applicant notified in writing.
Copies of previously issued archival certificates (or archival extracts) for requests from individuals and legal entities are prepared within one month.
Sending of Archival Certificates
Prepared archival certificates are sent according to registries via courier-postal service (military mail) with the «R» mark (registered mail).
